The main purpose of the role is to ensure the delivery of Site Administration services, are effective, coordinated, balanced in terms of their individual and collective contribution to and alignment with the overall aims, objectives and needs of Warwickshire Police, to enable delivery of acceptable levels of policing services.

 

Main Responsibilities:  

To ensure that the aims, intent and expectations of the Warwickshire Police Vision and Values together with those of the Enabling Services Statement of Common Purpose are fully integrated into all day to day activity.

To maintain a customer service ethos in the delivery of Business Support services to ensure that the team operate within agreed service levels established and there is ongoing dialogue with service users to ensure these are continually reviewed. 

To ensure effective monitoring and reporting arrangements are in place to ensure effective service delivery is maintained and that required outcome needs are understood and can be delivered. 

To promote and maintain an environment of continuous improvement and innovation in developing streamlined processes to ensure the function remains lean and focused at all times on priority issues. 

Ensure that all data and information related to the Business Support function is maintained and managed in accordance with good practice in respect of its Confidentiality, Availability and Integrity and that appropriate contingency arrangements are in place regarding the function’s service delivery

Ensure that liaison takes place and relationships are maintained with other directorates, functional managers, supervisors and stakeholders so as to understand their needs of the Business Support function and to ensure they are fully informed of the function’s objectives, purposes and achievements.

Effective co-ordination of administration processes appertaining to site services including asset and equipment monitoring and maintenance, record and system maintenance as required (e.g Tranman, Centurian), prioritising demand, ensuring the workload of the team is managed and delivered effectively.  

To co-ordinate the helpdesk function, tasking work as appropriate in liaison with Facilities Officers and the Logistics Co-ordinator.

Effective co-ordination of secretarial services across the geographic area, ensuring appropriate cover arrangements are in place.

To provide a local support to the Seized and Found Property teams.

To be responsible through the scheme of budget delegation for authorising low level expenditure 

To maintain effective processes and practices for the ordering, storage and distribution of supplies as well as the receipt of goods at the point of delivery or receipt.

To oversee the efficient processing of overtime and expense claims adhering to the necessary payroll deadlines.

To maintain effective processes and practices for the issuing of controlled stationery and the handling of cash and cash related transactions, ensuring appropriate audit and control arrangements are in place. 

To collate and analyse information relevant to supporting the local site services, producing documents and reports as required, including spreadsheets.

To undertake other duties commensurate with the nature, level of responsibility and grading of this post, including cover for colleagues, as required. 

 

Experience/Skills:

Knowledge:

Educated to GCSE standard (5 A – C including English Language and Maths)

Competent in the use of IT, including Microsoft packages or equivalent

Experience:

Previous administrative experience in a busy office environment, including knowledge of routine financial processes.

Experience of supervising a team of staff in an admin related environment

Proven ability to co-ordinate a wide range of tasks and be able to manage large volumes of work.
